Who we are
Hola Kidz: The Spanish Lab is a Spanish immersion daycare in Portland, Oregon. This policy covers our website, holakidzthespanishlab.org, and the Hola Kidz app for phones, where enrolled families and the center's staff use the same accounts.
What we collect
When you ask for a tour or apply for a place: your name, phone, email, your child's name and date of birth, the program and location you chose, and how you plan to pay.
When your family has an account: the name and email of each parent or guardian, a password (kept only in a scrambled form that we cannot read), and your children's record, filled in by the center: schedule, allergies, medical conditions, emergency contact, people allowed to pick them up, pediatrician, progress, and a photo if one is added.
Payments: what you were charged, what you paid, and when. Card and bank details are typed on the page of Stripe, our payment processor; Hola Kidz never sees or keeps them.
Messages in the app: what you and the center write to each other, and the photos and videos either side sends. Each conversation is private: only that family, the administration, and the lead teachers can open it. The text of each message is translated automatically between English and Spanish, so each side reads it in its language; the original is kept as it was written.
Also in the app: if you allow notifications, an identifier of your phone, so the center's notices and messages can reach you. The app uses the camera, the microphone, and your photos only when you choose to take or attach a photo or a video; it never looks through your photos on its own. If you turn on fingerprint or face unlock, the check is done by your phone and the app never receives your fingerprint or your face. The app does not read your location or your contacts.
Visits to the site: we count how many times each page is opened per day, without identifying anyone. To stop abuse of the forms we keep, for one day, a scrambled form of the internet address a form was sent from. We do not use advertising or tracking cookies; the only cookie is the one that keeps you signed in.
What we use it for
To answer your request, care for your child, keep you informed (notices, news, the menu, and the calendar), and collect tuition. We do not sell your data and we do not use it for advertising.
Who else handles it
Only the companies that make the service work, each for its own task: Cloudflare (hosting, the database, and the storage of photos and videos, in the United States), Stripe (payments), Resend (the emails the site sends), Google Cloud Translation (the translation of the text of messages; Google does not keep it or use it for anything else), and Expo, Apple, and Google (delivery of notifications to the app). The staff email of the center runs on its own server. Staff members see only what their job needs.
Children
The site and the app are for parents, guardians, and staff, not for children. Children's information is given by their family or written by the center, and only the family and the staff can see it. Photos of children are published only with the family's permission.
How long we keep it
While your child attends Hola Kidz and for as long as the law requires a childcare center to keep its records. Requests that did not end in enrollment are removed when they are no longer needed.
Your choices
You can ask to see, correct, or delete your data, or to close your account, by writing to [email protected] or calling 971-427-6290. When an account is closed, its sign-in, its children's record, and its notices are removed; payments already made stay on record as the law requires. You can turn notifications off at any time in your phone's settings.
How to delete your Hola Kidz account
1. Write to [email protected] from the email of your account, or call 971-427-6290, and say that you want your Hola Kidz account deleted. 2. The center confirms that the request comes from you. 3. The account is deleted within 30 days and you get a confirmation.
What is deleted: your sign-in, your name and email, your children's record and photo, your notices, your whole conversation with the center with its photos and videos, and the identifiers of your phones. What is kept: the record of payments already made and what the law requires a childcare center to keep about the children it cared for, for as long as the law requires.
Changes
If this policy changes, the new version will be on this page with its date.
